Office Administrative Assistant

FORTAX Private Wealth Corp. is seeking for a qualified Office Administrative Assistant (OAA) to join our team. You will serve as a point of contact for clients with queries about services, procedures and pricing while providing support for the rest of the team. 

Our ideal candidate is goal-oriented and has a deep knowledge of best customer service practices. If you have exceptional organizational skills, and draw energy from being part of a team, we would like to meet you. Ultimately, you should be able to contribute to high quality customer service and help the rest of the team to achieve sales targets.

DUTIES & RESPONSIBILITIES

The Office Administrative Assistant is responsible for providing support to managers, employees, and clients while ensuring that all interactions are positive and productive. The OAA is responsible for completing a variety of office tasks, including but not limited to: 

  • Answer the phone, explain our process to the new or existing clients 
  • Convert Price Seekers calls into new clients 
  • Process service request and answer queries via email and phone in a professional and timely manner 
  • Contact clients to obtain missing information or answer queries 
  • Communicate important feedback from customers internally 
  • Stay up-to-date with new products and features 
  • Receive and organize documents, review and update policies 
  • Organize upcoming meetings within the office setting 
  • Maintain inventory of office supplies and reorder when necessary 
  • Assist in scheduling meetings for managers, employees, and clients 
  • Collaborate with our marketing team to create new templates to improve our client satisfaction ratings, and NPS scores and testimonials 
  • Anticipate others need in order to ensure their seamless and positive experience 
  • Assist the CEO’s day-to-day activities, emails and calendar 
  • Organize team building experiences that foster a healthy business relationship 
  • Create guides, systems, and processes that improve our operational efficiency 
  • Assist onboarding new clients, and explaining our system 

QUALIFICATIONS:

  • Associate’s Degree in a related field 
  • Proven work experience as an Office Administrative Assistant in the Financial Industry 
  • Eager to learn about financial services such as taxation, wealth management, and insurance 

KNOWLEDGE AND ABILITIES:

  • Demonstrated ability to take the initiative, and problem-solve 
  • Detail-oriented and highly organized 
  • Excellent organizational, multitasking, and time management skills 
  • Ability to work independently and as a team member 
  • Strong written and verbal communication skills 
  • Confident speaker with the ability to answer queries to our clients via phone 
  • Effectively handle multiple priorities 
  • Display integrity, empathy, and sincerity while contributing to the positive company culture 
  • Excellent interpersonal and relationship-building skills 
  • Proficient with Microsoft Office, Microsoft Teams, Outlook, Google Drive, Calendly, Zoom, and Adobe 
  • Able to take decisions for the greater good of the organization and team
